Trade Show Staffing Plan for Exhibitors

How to staff a stand properly: how many people, shift patterns, roles and what each person should capture.

A well-staffed stand is not the same as a crowded one. The right plan gives visitors someone to talk to at every moment, without people standing around.

Work out how many people you need

Consider stand size, expected footfall and how long a typical conversation lasts. A small stand rarely needs more than two or three people at once. Larger stands need more, plus cover for breaks. The team size estimator can help with the maths.

Plan shifts

Nobody is at their best after eight hours on their feet. Plan shifts of two to four hours with proper breaks. Put your strongest people on at the busiest times, usually mid-morning and early afternoon.

Give everyone a role

  • Greeters open conversations with passing visitors.
  • Specialists handle technical or product questions.
  • A stand lead keeps the rota on track and deals with problems.

Agree what to capture

Every conversation should be logged with who, what they need and the next step. Decide in advance which details matter most so staff ask the right questions.

Brief the team

Before the show, send a one-page brief: the goal, the rota, roles, key messages, what to capture and the debrief date. Our team brief template works for stand teams too.

After the show

Hold a debrief within 48 hours and get leads to their owners quickly. See our guide on how to follow up on trade show leads.

Don't forget the floor

If you have spare people, send someone to walk the halls. Other exhibitors can be customers, partners or suppliers too.

Beagle for exhibitors handles stand shifts, capture and follow-up for the whole stand team.
