Getting the Whole Team's Leads Into the CRM Within 48 Hours
A simple process for getting every rep's show leads into your CRM quickly and completely.
Leads that sit on a rep's phone for a week go cold. Leads that never reach the CRM might as well not exist. Here is a process that gets the whole team's leads in within 48 hours.
Decide the minimum record
Agree what every lead needs before it goes in: name, company, email or phone, what was discussed, next step and owner. Anything less creates records nobody can act on.
Capture in a consistent format
The biggest delay is tidying up messy notes. If everyone captures in the same way on the day, the CRM step becomes an export rather than a rewrite. Log each conversation before moving on, with a card photo where possible.
Name one person to own the import
Give one person, often in marketing operations, responsibility for getting the leads in. Reps check their own records; the owner handles the import and duplicates.
Watch for duplicates
Several reps may meet the same company. Match on company and email before importing, and merge where needed.
Set the clock
- Day of the show: every conversation logged.
- Next working day: reps check and complete their records; debrief held.
- Within 48 hours: records exported and imported, owners assigned, first follow-ups sent.
Our post-show debrief agenda fits neatly into day one.
Check completeness
After import, compare the count in the CRM with the count captured. Any gap means leads have gone missing.
For more on the CRM step itself, see post-show CRM.
Beagle for marketing teams keeps every rep's captures in one workspace with CSV export, so the import is one file rather than a dozen.
