How to Plan a Team Visit to a Trade Show: Target Lists, Routes and Roles

A practical plan for getting a visiting team round a show efficiently, with nobody doubling up and nobody missing the stands that matter.

A team that plans its visit covers more ground and has better conversations than one that turns up and wanders. Here is a simple plan you can reuse for every show.

1. Build the target list

Start with the exhibitor list. Go through it by sector and mark each company as must-see, nice-to-see or skip. Most teams end up with a manageable must-see list and a longer nice-to-see list.

Give every must-see company a named owner. That one step prevents most of the problems teams hit on the day.

2. Map the list to the floor

Once you know stand numbers, group targets by hall or zone. A route that works through one area at a time saves a surprising amount of walking. If the show publishes a floor plan, use it. Beagle shows stand numbers and halls alongside each exhibitor in the show directory.

3. Assign roles

Common roles on a visiting team:

  • Floor walkers who work through the target list.
  • A meetings lead who handles pre-booked meetings with key exhibitors.
  • A talks lead if there are sessions worth attending.
  • A coordinator, often the manager, who keeps an eye on progress and reshuffles targets.

In a small team, one person may cover several roles. What matters is that each role has a name against it.

4. Book meetings in advance

For the few companies that really matter, don't leave it to chance. Contact them before the show and agree a time on their stand.

5. Agree how you will capture

Decide in advance: every conversation logged before the next stand, with who, what and next step. Visitors met in the aisle count too.

6. Set the debrief

Put a 30-minute debrief in the diary for the first or second working day after the show. Our post-show debrief agenda keeps it short.

Put it on one page

All of this fits on a single brief. Use the team brief template or the free team brief generator. For big shows, see splitting a show between your team.

Beagle for sales teams turns the target list, routes and roles into a shared plan the whole team can see on their phones.

Frequently asked questions

How long does it take to plan a team visit?
An hour or two for most shows, most of it spent going through the exhibitor list and assigning owners.
Should every target have one owner?
Yes. One named owner per target avoids both duplicate visits and missed stands.
What if a target's stand is busy?
Note it and come back later. A shared list lets a teammate pick it up if they pass at a quieter moment.
